By accessing our websites, submitting an inquiry, completing a form, providing payment information, authorizing payment, booking travel, participating in a group trip, attending an event, requesting a quote, or using our services, you acknowledge that you have read, understood, and agree to these Terms & Conditions.
1. Company Information
LUXE Worldwide Travel, Meetings & Groups is a travel agency and meeting planning firm that arranges travel, events, group experiences, meetings, incentives, destination weddings, cruises, tours, excursions, transportation, commercial air, private charter air, accommodations, travel packages, and related services on behalf of clients.
2. Role of LUXE Worldwide Travel, Meetings & Groups
LUXE acts as an independent travel advisor, meeting planning firm, and intermediary between clients and third-party travel suppliers, including but not limited to tour operators, cruise lines, airlines, hotels, resorts, destination management companies, transportation providers, private charter operators, excursion companies, travel insurance providers, event vendors, technology providers, and other travel-related suppliers.
LUXE does not own, operate, manage, or control the independent suppliers that provide travel services. Supplier terms, conditions, policies, cancellation rules, refund policies, service standards, health and safety procedures, and operational decisions are determined by the supplier and may change at any time.
LUXE may earn commissions from suppliers and may also charge professional planning fees, consultation fees, research fees, group management fees, event planning fees, administrative fees, change fees, cancellation processing fees, and other service fees.
3. Client Responsibility to Review All Travel Details
It is the client's sole responsibility to carefully review all quotes, proposals, invoices, payment schedules, reservations, flight itineraries, hotel confirmations, cruise documents, travel documents, passenger names, dates, destinations, room categories, cabin categories, inclusions, exclusions, and all other booking details immediately upon receipt.
Errors, omissions, misspellings, incorrect travel dates, incorrect passenger names, incorrect dates of birth, passport mismatches, pricing discrepancies, schedule changes, and confirmation errors must be reported to LUXE in writing immediately.
LUXE is not responsible for losses, penalties, denied boarding, supplier charges, fare increases, cancellation penalties, missed travel, or other costs resulting from a client's failure to review and verify all travel documents and confirmations.
4. Quotes, Availability, and Pricing
All quotes are subject to availability and are not guaranteed until required deposits or full payments have been received and the supplier has confirmed the booking.
Prices, taxes, fees, exchange rates, fuel surcharges, resort fees, port charges, airfare, availability, promotions, and supplier terms may change without notice.
A quote does not guarantee space, pricing, or availability. LUXE is not responsible for supplier price changes, fare increases, expired promotions, inventory changes, currency fluctuations, system errors, or errors made by third-party suppliers.
5. Payments, Deposits, and Professional Fees
LUXE may collect funds directly from clients or may facilitate payments to third-party suppliers. In some cases, clients may submit credit card authorization forms, payment forms, or other payment details that LUXE transmits to tour operators, cruise lines, resorts, airlines, hotels, charter operators, transportation companies, event vendors, or other suppliers for payment processing.
By submitting payment information, the client authorizes LUXE and/or the applicable supplier to charge the payment method provided for the agreed travel services, deposits, installment payments, final payments, fees, supplier charges, event services, or related costs.
LUXE may charge professional fees in addition to supplier charges. These fees may include planning, research, consultation, group management, event coordination, itinerary design, administrative processing, rush service, changes, cancellations, and other professional services.
LUXE fees are generally non-refundable once services have begun, unless otherwise stated in writing.
6. Non-Refundable and Non-Transferable Payments
Unless otherwise stated in writing, all payments, deposits, planning fees, group trip payments, event payments, supplier payments, and service fees are customarily non-refundable and non-transferable at the discretion of LUXE Worldwide Travel, Meetings & Groups and/or the applicable supplier.
Refunds, credits, future travel credits, name changes, date changes, transfers, cancellations, and modifications are subject to supplier policies, LUXE policies, group contract terms, event terms, and applicable law.
Clients understand that suppliers may impose strict cancellation penalties, no-refund policies, non-transferable payment rules, and deadlines that are outside of LUXE's control.
7. Credit Card Authorization and Payment Security
When a client submits a credit card authorization form, the client confirms that they are the authorized cardholder or have permission from the authorized cardholder to use the payment method.
The client authorizes LUXE and/or the applicable supplier to process payment according to the approved invoice, proposal, payment schedule, booking terms, supplier agreement, or event agreement.
Clients agree not to initiate improper chargebacks for valid charges, non-refundable payments, supplier penalties, cancellation fees, no-show penalties, professional fees, administrative fees, or services rendered by LUXE. If a chargeback is initiated, the client remains responsible for all valid charges, supplier costs, professional fees, collection costs, administrative fees, and any legal fees permitted by law.
8. Cancellations, Changes, and Supplier Penalties
All cancellation and change requests must be submitted to LUXE in writing.
A cancellation or change is not confirmed until acknowledged in writing by LUXE and/or the applicable supplier. Supplier penalties may apply immediately upon booking.
Changes may result in additional costs, including fare increases, supplier change fees, cancellation penalties, rebooking fees, professional service fees, administrative fees, and loss of promotional pricing.
LUXE is not responsible for supplier delays in processing refunds, credits, cancellations, modifications, or travel documents.
9. Travel Insurance
LUXE strongly urges all travelers and their family members to purchase comprehensive travel insurance.
Travel insurance may protect against certain unexpected events, including covered cancellations, interruptions, medical emergencies, travel delays, baggage issues, supplier default, and other covered risks, depending on the policy purchased.
Declining travel insurance may expose the traveler to significant financial loss. If a client chooses not to purchase travel insurance, the client accepts full responsibility for any losses, penalties, medical expenses, cancellation costs, emergency transportation costs, supplier fees, or other expenses that may occur.
LUXE is not an insurance company and does not determine coverage, claims approval, benefit eligibility, or claim outcomes.
10. Passports, Visas, Identification, and Entry Requirements
Clients are solely responsible for obtaining and verifying all required passports, visas, REAL ID-compliant identification, travel authorizations, vaccination documents, health forms, entry permits, transit documents, and any other documents required for travel.
Passport validity requirements vary by destination and may require at least six months of validity beyond travel dates.
LUXE is not responsible for denied boarding, denied entry, deportation, missed travel, penalties, or losses due to insufficient documentation, expired passports, visa issues, name mismatches, health documentation issues, or failure to comply with destination requirements.
11. Health, Safety, Accessibility, and Special Needs
Travel involves inherent risks. Clients are responsible for evaluating their own health, mobility, fitness, medical needs, dietary needs, accessibility needs, and ability to participate in any trip, tour, excursion, event, cruise, meeting, or activity.
Clients must notify LUXE in writing of any special needs, accessibility requests, medical concerns, dietary restrictions, mobility limitations, or assistance requirements before booking.
LUXE will make reasonable efforts to communicate requests to suppliers but cannot guarantee that any supplier, destination, vessel, hotel, transportation provider, venue, or tour operator can accommodate all requests.
12. Air Travel, Schedule Changes, and Transportation
Airlines, charter operators, transportation companies, cruise lines, and other suppliers may change schedules, routes, aircraft, equipment, terminals, seat assignments, baggage policies, check-in rules, and operational procedures at any time.
Clients are responsible for monitoring flight schedules, reconfirming departure times, arriving at airports or departure locations on time, complying with airline and security requirements, and checking all travel documents.
LUXE is not responsible for airline cancellations, missed connections, schedule changes, delays, baggage issues, denied boarding, overbooking, aircraft changes, private charter operational decisions, or transportation disruptions.
13. Group Travel, Meetings, Events, and Incentives
For group trips, meetings, incentives, retreats, destination weddings, and events, additional terms may apply, including group contracts, minimum participation requirements, room block terms, attrition clauses, cancellation penalties, name change deadlines, payment schedules, event production costs, vendor terms, and supplier-specific rules.
Group pricing is often based on a minimum number of participants. If the group size changes, pricing, inclusions, amenities, concessions, event components, or availability may change.
LUXE reserves the right to modify itineraries, inclusions, schedules, venues, activities, hosts, amenities, or event components when necessary due to supplier changes, safety concerns, operational needs, weather, force majeure, or circumstances beyond our control.
14. Force Majeure and Events Beyond Our Control
LUXE is not liable for any failure, delay, loss, injury, inconvenience, additional expense, cancellation, interruption, or change caused by events beyond our control, including but not limited to weather, hurricanes, storms, natural disasters, acts of God, pandemics, epidemics, public health emergencies, government restrictions, border closures, acts of war, terrorism, civil unrest, strikes, labor disputes, supplier bankruptcy, airline disruptions, mechanical failures, cyber incidents, utility failures, emergencies, quarantine requirements, or any other force majeure event.
Clients are responsible for any additional costs caused by such events, including lodging, meals, transportation, rebooking, medical care, quarantine, evacuation, or extended travel expenses.
15. Supplier Responsibility and Limitation of Liability
LUXE is not responsible for the acts, errors, omissions, negligence, representations, warranties, breaches, cancellations, delays, financial default, bankruptcy, or failures of any third-party supplier.
To the fullest extent permitted by law, LUXE shall not be liable for indirect, incidental, consequential, special, punitive, or exemplary damages, including loss of enjoyment, emotional distress, lost profits, lost business opportunities, missed events, or additional travel costs.
LUXE's liability, if any, shall be limited to the amount of professional fees paid directly to LUXE for the specific service giving rise to the claim, excluding supplier payments, pass-through charges, taxes, commissions, insurance premiums, airfare, cruise fares, hotel costs, event vendor costs, and third-party charges.
16. Client Conduct
Clients are expected to conduct themselves respectfully and responsibly while traveling, attending events, communicating with LUXE, interacting with suppliers, and participating in group experiences.
LUXE reserves the right to refuse service, terminate services, remove a client from a group, or decline future bookings due to abusive behavior, harassment, threats, nonpayment, disruptive conduct, fraud, misrepresentation, violation of supplier rules, or conduct that may negatively affect other travelers, suppliers, advisors, or the LUXE brand.
No refund will be owed for removal due to misconduct unless required by law or supplier policy.
17. Website Content and Intellectual Property
All content on the LUXE websites, including text, graphics, logos, brand language, images, designs, itineraries, proposals, trip concepts, forms, downloads, and other materials, is owned by or licensed to LUXE Worldwide Travel, Meetings & Groups unless otherwise stated.
Website visitors may not copy, reproduce, modify, distribute, publish, sell, or use LUXE content for commercial purposes without written permission.
18. Website Use
You agree not to use the websites for unlawful, fraudulent, harmful, abusive, or unauthorized purposes. You may not attempt to interfere with website security, access restricted systems, submit false information, impersonate another person, upload malicious code, or misuse website forms.
LUXE reserves the right to restrict access, block users, remove content, or take appropriate action if website misuse is suspected.
19. Collection of Client Information
LUXE collects personal information necessary to respond to inquiries, provide travel planning services, process bookings, support payments, coordinate travel services, manage group trips, support meetings and events, communicate with clients, and provide related business services.
Information we may collect includes, but is not limited to:
- Full name
- Email address
- Phone number
- Mailing address
- Date of birth
- Passport information
- Government-issued identification information when required for travel
- Travel preferences
- Destination interests
- Budget information
- Loyalty program numbers
- Emergency contact information
- Dietary needs
- Accessibility needs
- Health-related travel information voluntarily provided by the client
- Payment-related information
- Credit card authorization information
- Trip forms, traveler profiles, consultation forms, and inquiry form responses
- Communications with LUXE by email, phone, SMS/text message, website form, scheduling platform, or other approved channel
Clients are responsible for providing accurate and complete information. LUXE is not responsible for booking errors, supplier penalties, denied boarding, missed travel, incorrect documents, or other losses caused by inaccurate, incomplete, or delayed information provided by the client.
20. Third-Party Platforms, Suppliers, and Service Providers
LUXE uses trusted third-party platforms, technology providers, travel suppliers, and professional service providers to operate our business, respond to inquiries, manage bookings, process payments, collect travel information, coordinate client services, and communicate with travelers.
These may include, but are not limited to, travel planning platforms, client relationship management systems, booking tools, scheduling platforms, payment processors, form collection tools, email marketing platforms, SMS/text messaging providers, accounting systems, supplier booking portals, tour operators, cruise lines, airlines, hotels, resorts, destination management companies, transportation providers, travel insurance providers, meeting/event vendors, and other travel-related service providers.
Examples of platforms LUXE may use include TravelJoy, VacationPort/Nexion-related tools, Setmore, email and CRM platforms, payment processing systems, supplier booking systems, form tools, and SMS/text messaging platforms.
We share client information only when reasonably necessary to provide requested services, including responding to inquiries, preparing quotes, booking travel, processing payments, managing group trips, coordinating meetings or events, delivering travel documents, communicating trip updates, supporting advisor communications, or fulfilling legal, financial, operational, security, or safety obligations.
LUXE does not sell, rent, or trade client personal information.
No mobile information will be shared with third parties or affiliates for marketing or promotional purposes. Text messaging originator opt-in data and consent will not be shared with any third parties, except with service providers, aggregators, carriers, or technology vendors who assist us in delivering SMS/text messages and only as necessary to provide those messaging services.
21. Privacy and Personal Information
LUXE respects client privacy and uses personal information for legitimate business purposes connected to travel planning, meetings, events, group travel, client service, booking support, payment support, and related communications.
LUXE may share necessary information with travel suppliers, tour operators, cruise lines, airlines, hotels, resorts, transportation companies, destination partners, travel insurance providers, payment processors, meeting/event vendors, technology providers, and professional service providers only as needed to provide requested services or comply with legal obligations.
LUXE does not sell, rent, or trade client personal information.
A separate Privacy Policy should be published on the websites to explain how personal information is collected, used, protected, shared, retained, and how clients may contact LUXE regarding privacy-related questions.
22. SMS/Text Messaging Terms and 10DLC Compliance
By providing your mobile phone number to LUXE Worldwide Travel, Meetings & Groups through our websites, inquiry forms, booking forms, consultation forms, travel forms, advisor applications, coaching forms, payment forms, event forms, or by otherwise opting in, you consent to receive text messages from LUXE Worldwide Travel, Meetings & Groups.
Text messages may include travel planning updates, appointment reminders, consultation confirmations, booking updates, payment reminders, trip alerts, document reminders, itinerary updates, customer service messages, advisor recruitment communications, event updates, group trip information, promotional messages, and travel-related offers.
Message frequency may vary based on your relationship with LUXE, your inquiry, your booking activity, your event participation, your travel dates, or your communication preferences.
Message and data rates may apply.
You may opt out of receiving SMS/text messages at any time by replying STOP. After you reply STOP, you may receive one final confirmation message confirming that you have been unsubscribed. After that, you will no longer receive SMS messages from LUXE unless you opt in again.

Mobile phone numbers, SMS opt-in data, and text messaging consent collected by LUXE Worldwide Travel, Meetings & Groups will not be sold, rented, traded, or shared with third parties or affiliates for their own marketing or promotional purposes. We may share mobile information only with service providers, messaging platforms, carriers, aggregators, or technology vendors as necessary to deliver SMS/text communications requested or consented to by the client.
23. Recommended Website Form SMS Consent Language
Add the following unchecked checkbox language to every website form where a mobile phone number is collected:

25. Testimonials, Reviews, Photos, and Media
By submitting reviews, testimonials, photos, videos, or feedback to LUXE, you grant LUXE permission to use such content for marketing, website, social media, promotional, and business purposes unless you notify us otherwise in writing.
LUXE will use reasonable care when publishing client content but is not responsible for content voluntarily submitted by clients or shared publicly on social media.
26. Third-Party Links and Supplier Websites
The LUXE websites may include links to third-party websites, supplier booking engines, payment portals, insurance providers, cruise lines, tour operators, destination partners, scheduling tools, or other outside platforms.
LUXE is not responsible for third-party website content, privacy practices, security, payment processing, policies, availability, or accuracy. Use of third-party websites is at your own risk and subject to those third parties' terms and policies.
27. Changes to These Terms
LUXE may update these Terms & Conditions at any time. Updated Terms will be posted on our websites with a revised effective date.
Your continued use of the websites or services after changes are posted constitutes acceptance of the updated Terms.
28. Governing Law
These Terms & Conditions shall be governed by the laws of the State of Texas, without regard to conflict-of-law principles.
Any dispute arising from these Terms, the websites, or LUXE services shall be handled in the appropriate courts or dispute resolution forum located in Texas, unless otherwise required by applicable law or agreed in writing.
